feed® comes with an integrated media library for organizing and storing media files. This can include everything from product images, data sheets, user manuals, instructional videos, certificates, audio files... everything you need to efficiently organize and link media with the products.


feed® has a limitation of a maximum of 1GB per file uploaded to the media library, but depending on where feed is hosted, there may be additional network restrictions on the size of files allowed for upload.


The Media Library

The media library allows you to search for specific media, or you can use several of the available filters to narrow down or sort the search results to what you need.

These filters appear at the top of the table as text fields, dropdown fields, checkboxes, or sorting arrows, which become visible when you hover the mouse cursor over the column header.

These are the default columns visible in the media library when you click on Media on the left side of feed.


Media Library Context Menu:

By clicking on the context menu in the media library (the three dots in the top right corner), the following options will appear:

  • Edit table settings

  • Mass deletion

  • Excel export

  • Click here to go to import


Table Settings:

If you wish to change the default column setup for what is displayed in the media library, click on the context menu (the three dots in the top right corner) and select Edit Table Settings.

Then, add or remove the visibility of columns in the media library by clicking on the eye icons. You can also reset to the default view.

Make sure to click Save to apply the changes.

 

Short description of the different columns:

Thumbnail: Displays thumbnails for images where available and icons for other types of media.

Name: This field is by default set to the name of the uploaded file but can be changed if desired in feed®.

Type: The type indicates whether the file type you upload is linked to Image, Video, Audio, Document, or others. This makes it easier to filter by media type.

Source ID: External unique media ID retrieved from integration. URL to media or system media ID (set by integration).

In Use: Checkbox indicating whether the media is linked to a product in feed or not.

Missing Formats: Checkbox relevant only for image files. If filtering by images and selecting Missing Formats, this could be due to image formats that cannot be converted, issues with the image file, or missing formats in feed.

Created: Creation date in feed.

Last Modified: If updates are uploaded for documents or images, "Last Modified" will display a more recent date than "Created."

Delete Button: Displays a trash icon on the right side of the table that can be used to delete media not linked to a product (unchecked "In Use").

File Type: Lists the file extensions of the files (e.g., jpg, pdf, docx).

File Category: File categories can be defined as needed under Master Data - Media - File Category, and assigned to media to categorize documents accordingly. For example: Technical Drawings, Installation Instructions.

File Size: Displays the file size.

External Access: Used by the feed® API in special cases where API access to selected media needs to be restricted. Exporting media with restricted API access will only grant access to media marked with this attribute. Standard API export access will provide access to all media. To restrict access, this limitation must be requested for the API user access being created.

Public URL: To reference an external location for a media file. For example, if you use a DAM (Digital Asset Management) system for media storage, it may be useful to have a URL stored on the media in feed® that points to its location in the DAM solution.

ID: The media sequence number created by feed for new media files. To update existing media via API, this number is required. If performing a force_delete via API or Excel import, the ID must also be used.


Mass Deletion:

As a safety measure, mass deletion will not allow you to delete media linked to products. If you choose this option without using the "In Use" column filter, you will not see checkboxes on the left side for media that is in use.

If you filter "In Use" to a blank value at the column header level, it will filter the media so that only files not linked to any products are shown, allowing you to efficiently delete these files from feed.

You can then check the box at the column header level to select all, or check boxes at the row level to remove individual media files to be deleted.

Click on the red trash can at the top right to activate the deletion.

As you can see in the screenshot above, trash icons are available for all media. If you attempt to delete media linked to products, you will receive an error message stating that the media is in use and cannot be deleted.

To delete media with associated products, you must first remove all product connections.

This is done within the media section of the media library.

Go to Product Connections and click on the trash icon for all the products linked to the media. After this, the media can be deleted from feed.


Alternatively, this can be done via Excel media import if you have the feed media ID for the media (see the example used in the media import template below):

 


To obtain the feed media ID, you can perform a media Excel export, or you can view the feed ID for individual media in the URL when accessing the media (see example below).



Excel Export:

This does not allow you to bulk download media (documents, images, audio files, or videos).

The export will only provide you with available master data about the media. More information about media Excel export can be found here.

Excel import:

E-commerce solutions often provide an option for Excel export to retrieve Media URLs and SKU connections (if you are an administrator).

If you have an Excel file containing URLs for media files and the product numbers they are linked to, you can quickly import this into feed.

Media:

Upload

At the bottom right of the feed media library, you will find the upload icon.

By clicking on "Upload," you will be directed to this screen. Here, you can drag and drop files for upload, or you can click on the folder icon to navigate to the file on your computer.

PS: If you manually upload the same media more than once (without changes), feed will identify that the name and size are identical to an existing media, and it will not be uploaded.

If you change the name or content of the media, it will be imported as a new document. If the intention is to update a media, go into the media and use "Replace Media" from the context menu to retain linked products and media roles set at the product level.


After the media is uploaded, you must click on the file in the media library to link the media to products, assign the desired media role, and make any other necessary changes.


Below, we go through all the fields and options available when you are working with media:

Media Header Data:

  • Name: This field is by default set to the name of the uploaded file, but it can be changed if desired in feed®.

  • File Category: This is an optional field that can be set to categorize media for better organization. File categories must be created under "Master Data" - Media: "File Category."

  • QR Code: This is a legacy feature from feed® 1.4 and is purely an informational field for storing a QR code value, without QR functionality being implemented in feed®.

  • Description: An optional field for adding a description.

  • Original File Name: This stores the name the file had upon upload and cannot be changed.

  • File Size: The size of the original file.

  • Public URL: To reference an external location for media. For example, if a DAM (Digital Asset Management) system is used for media storage, it may be helpful to have a URL stored on the media in feed® that points to its location in the DAM solution.

  • Source ID: External unique media ID retrieved from integration. URL to media or system media ID (set by integration).

  • External Access: External access is used by the feed® API in special cases where API access to selected media needs to be restricted.

Metadata:

Some systems support, or even require, metadata on images to identify the type of image being presented. These options are available under the Metadata tab. 

Formats:

The format tab displays all the formats set under "Basic data > Media > File Format."

The file formats you create are available for download when you access the image in the media library.

Here, you can also quickly view the file size for all the generated formats and check if a format has not been generated.

If you need to generate a format that is missing for the image you are viewing, you can click on the context menu (the three dots in the top right corner) and select "Regenerate All Formats."

Attached to product:

If you do not see this tab when viewing a specific media, it means no products are linked to the media.

If you have media that is more general in nature and can be linked to multiple products, it is better to link the media to multiple products instead of uploading it multiple times and linking it to just one product.

If you update media by using the replace media option in the media menu, you will update the media for all connected products.



Attached to structures: 

If you need to add a file to a structure node, you can do so while working with structures in feed®.

A tab called "Structure Connections" will appear on the media. If you click on the structure connection, feed will take you to the node in that structure.

You can easily delete the connection by clicking on the trash icon. Deleting the attachment connection is immediate, and you will not be prompted to confirm the action.


Properties:


The media Properties tab lets you create key-value pairs. This means that users can create as many properties as they want directly on the media. These properties can be set through the user interface or via our Import API. They can also, of course, be retrieved from our Media API as well as our product export API.


Media contextual menu

When you click on the context menu (the three dots in the top right corner of a media), the following menu appears:

  • Download: Download the original file.

  • Replace Media: If you replace a media file, the feed media ID will remain the same. The name will also stay the same, but the original file name will be the name of the uploaded file. For images, file formats will be regenerated for the new file. You may need to refresh the page to see the changes.

  • Link to Products: From here, you can:

    1. Select one or more media roles for the image.

    2. Use the search field for a free-text search.

    3. Filter in the Selection field for better search results than free-text search.

    4. The search result will be visible for selection. By clicking the checkbox on the left side of "Product," you will select all visible products on the page.
      Click on the > icon to navigate to the next page of the search result.

    5. When you’re done, remember to click the Save button to apply the attachment.

  • Delete: Deletes the media if it is not linked to a product. If it is linked, you must first remove the attachments. This can be easily done by navigating to the "Linked to Products" tab and clicking on the trash icon on the right side of the product it is linked to.
    There is also a trash icon above the products that looks slightly different. Clicking on it allows you to remove product links (this action must be confirmed before deletion is performed).
  • Regenerate All Formats: This option is only available for images. Not all images support this. This context menu option will only regenerate formats for the image you are currently viewing.
    PS: If it is a new format you have added, you can generate formats for all images under Basic Data - Media/File format. Then click on the Generate formats icon: and choose between "Generate missing formats" or "Regenerate all formats". 


  • Slett: Sletter mediaen hvis den ikke er koblet til et produkt. Hvis den er det, må du først fjerne vedleggene. Dette kan enkelt gjøres ved å navigere til fanen "Koblet til produkter" og klikke på søppelbøtta på høyre side av produktet den er koblet til. Det er også en søppelbøtte over produktene som ser litt annerledes ut . Trykker man på den kan man fjerne produktknytninger (dette valget må bekreftes før sletting gjennomføres) 
  • Regenerer alle formater: Dette alternativet er kun tilgjengelig for bilder. Ikke alle bilder støtter dette. Dette kontekstmenyalternativet vil kun regenerere formater for bildet du er på akkurat nå. Hvis det er et nytt format du har lagt til, kan du generere formater for alle bilder i Grunnleggende meny - Media: Filformat.
